Who we are

NextListing is a business run by Ethan Geary and Luka Sazdov in partnership (E.J Geary & L Sazdov, ABN 58 549 832 708), based in Brisbane, Queensland. We help real estate agencies keep in touch with homeowners who have already dealt with them. This policy explains what personal information we handle and how. We follow the Australian Privacy Principles even though, as a small business, we may not be legally required to.

Whose information we hold

  • Homeowners in an agency's records. When an agency engages us, it gives us details of owners it has dealt with: name, mobile number, sometimes email, the property address, and notes about past contact (for example, the date of an appraisal or when the owner said they might sell). We also keep the messages we send on the agency's behalf, the replies, and whether someone has asked not to be contacted.
  • Agency staff. Names, work phone numbers and work emails of the agents and managers we work with.
  • People we contact or who contact us about our services. Names and business contact details, usually from an agency's own website, plus notes from our calls and emails.

We don't collect sensitive information (such as health or financial details) and ask agencies not to send it.

How we use it

We use a homeowner's details only for the agency that gave them to us, to:

  • send follow-up messages in the agency's name, with wording the agency has approved;
  • read and respond to replies, and pass on owners who want to talk to one of the agency's licensed agents;
  • record what happened and report it to the agency.

We never sell personal information, never use one agency's records for another agency, and never use them to train AI models.

How software is used

We use software, including AI models, to help sort records, draft messages and suggest replies. A person at NextListing or the agency approves what is sent. We don't use software to make decisions that significantly affect anyone's rights or interests.

Who else sees it

  • The agency the information belongs to.
  • Our service providers, who process it for us and not for their own purposes:
ProviderWhat they doWhere data is processed
n8n (n8n GmbH)Runs our workflows and stores the records we work withGermany (EU)
AnthropicAI models that draft and check messagesUnited States and other countries where Anthropic runs its systems
GoogleOur business email; backup AI modelUnited States and other countries
[SMS provider, named once chosen]Sends and receives text messages[country]

We send AI providers only what a task needs, never a full customer record. We only use providers that don't train their models on our data.

We may also disclose information where the law requires it.

How long we keep it

We keep an agency's homeowner records only while we work for that agency. When the work ends, we return the list of people who asked not to be contacted, then delete the records within 30 days. We keep our own business records, such as invoices, for 5 years because tax law requires it.

How we protect it

Access is limited to the two of us, every account uses two-step verification, each agency's records are kept separate, and data is encrypted when it moves between systems. If a data breach is likely to cause someone serious harm, we will tell the people affected, the agency and the Office of the Australian Information Commissioner (OAIC).

Not hearing from us

Every text we send for an agency tells you how to opt out: just reply and say so. We act on it straight away and pass it to the agency. You can also email us.

Seeing or correcting your information, and complaints

Email hello@nextlisting.au. We'll reply within 30 days. If your request is about an agency's records, we'll also pass it to the agency, since it controls them. If you're not happy with our answer, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
